- For business accounts: business name, business type, and a description of your processes
When you use the platform
- Document images you choose to scan (used only to extract data, not retained on our servers on the Starter plan)
- Extracted data values from your documents
- Records of when workflows were run
When you visit our website
- Email addresses submitted via our early access form
We do not collect
- Payment card details (handled by our payment processor)
- Location data
- Device identifiers or advertising IDs
3. How We Use Your Data
We use your data to:
- Provide and operate the Cyworkz service
- Authenticate your account and maintain your session
- Process your documents and return extracted data
- Respond to your enquiries and support requests
- Improve the accuracy and reliability of our service

- We do not sell your data to third parties.

4. Where Your Data Is Stored
Cyworkz runs on secure, industry-leading cloud infrastructure. Your account data and the information our AI extracts are held in managed cloud database and storage services, and uploaded content is processed by a trusted third-party AI provider to extract information for you. We do not currently guarantee storage in a specific country or region.
If you have specific data residency requirements, particularly if you are based in the European Union, the United Kingdom, the United Arab Emirates, or Saudi Arabia, please contact us at hello@cyworkz.com and we will work with you to accommodate them where possible.
All data is transmitted using industry-standard encryption in transit.
5. How Long We Keep Your Data
Account data: retained while your account is active and for 30 days after deletion is requested.
Document images (Starter plan): processed in real time and not retained on our servers. Images are handled on your device only.
Workflow records (Professional and Business plans): retained for 30 days (Professional) or indefinitely (Business) to enable historical access and audit trails.
Early access enquiries: retained until the enquiry is resolved or you ask us to remove your details.
6. Your Rights
Under UK GDPR and applicable data protection law, you have the right to:
- Access the personal data we hold about you
- Correct any inaccurate or incomplete data
- Request deletion of your account and associated data
- Object to or restrict certain uses of your data
- Receive a copy of your data in a portable format
- Withdraw consent where processing is based on consent
